How insurance restoration claims actually work

If your home or business suffered sudden, accidental damage from water, fire, or storm, your homeowner's policy almost certainly covers the restoration cost. The hard part is navigating the paperwork while also dealing with the disaster itself. We've done this thousands of times. Here's what to expect.

Step 1: Call us first, then your insurance

Counterintuitive but correct. We can be on-site in 45 minutes, document everything for the claim, and start mitigation right away. Delaying water extraction even a few hours leads to bigger losses (and bigger claims). Your insurance will actually want you to mitigate fast. We're trained to document in the way adjusters expect.

Step 2: We document everything

  • Photos of every affected area before mitigation begins
  • Moisture readings and Category-3 water classifications when applicable
  • Written scope of damage and recommended repairs
  • Daily progress photos through drying and rebuild
  • Equipment logs (number of air movers, dehumidifiers, hours run)

Step 3: We write the estimate in Xactimate

Xactimate is the industry-standard estimating software that insurance adjusters use. Our project managers are Xactimate-certified. When our estimate hits your adjuster's desk, the line items, prices, and codes are formatted exactly the way they want to see them. Faster approval, fewer back-and-forths.

Step 4: We bill insurance directly

Most of our customers never write us a check. We get authorization from you to bill the carrier directly. Your insurance payment goes to us, the deductible is your only out-of-pocket cost.

Step 5: We handle the appeals and supplements

If the adjuster initially undervalues part of the scope (it happens), we file the supplement on your behalf with documentation. Most are approved without you ever needing to argue with anyone.

Common insurance questions

Is this covered by my policy?

Sudden and accidental damage (burst pipes, appliance failures, fires, storms) is covered by standard homeowner's policies. Gradual leaks that have been ongoing for weeks or months are usually not. We can review your situation on the free inspection and give you a straight answer before you file.

Will filing a claim raise my premium?

For sudden, accidental property damage in Massachusetts, a single claim usually has minimal impact on premium, especially when the cause is clearly not preventable (burst pipe in winter, lightning strike, etc.). Multiple claims in a short window can. Your agent is the right person to ask, we can call them with you if you'd like.

Do I have to use the restoration company my insurance recommends?

No. Massachusetts law is clear: you have the right to choose who works on your property. Insurance "preferred vendor" programs exist for the insurance company's convenience, not your protection. Many of those vendors are pressured to cut corners on the scope to keep the carrier happy. You get to pick. We're happy to be that choice.

What's a deductible and how does it work?

Your deductible is the amount you pay before insurance starts covering the rest. On a $10,000 water damage loss with a $1,000 deductible, insurance covers $9,000 and you pay $1,000. We collect only the deductible from you, the rest comes from the carrier directly to us.

What's "ACV" vs "Replacement Cost" coverage?

Replacement Cost (RCV) pays to replace damaged items with new equivalents. Actual Cash Value (ACV) pays the depreciated value (so a 10-year-old carpet would be paid out at a fraction of new). Most modern policies are RCV. We'll help you check your declarations page.

What if the adjuster's estimate is too low?

It happens. We file a written supplement with photos, equipment logs, and a corrected scope. Most supplements are approved within a week. You don't need to argue with anyone, we handle the technical conversation.

What if my claim is denied?

If the cause isn't covered, we'll tell you straight up before you file. If a claim is denied unfairly, you have the right to appeal, and we can provide the documentation to support your case. Massachusetts also has a Division of Insurance you can escalate to if needed.
